TITLE: Executive Assistant  
REPORTS TO: ESVA Tourism Commission Executive Director
TERMS OF EMPLOYMENT: Full Time
CLASSIFICATION: Non-Exempt
SCOPE: This person works directly with the Executive Director, while playing an independent role managing administrative matters including finance, compliance, purchasing and event management. This position requires critical thinking, complex problem solving, skilled prioritization, and supreme organizational skills.
 

I.RESPONSIBILITIES / AREAS OF RESULTS

a. Administrative

  • Manages the main office in Melfa and provides oversight to a remote office for all day-to-day operations
  • Process weekly, bi-monthly, monthly and annual transactions 
  • Maintains financial records to strict audit standards. Analyzes budget matters; tracks distribution channels; make purchases; reviews contracts and manage databases
  • Organizes an Annual Tourism Summit, a fall workshop, monthly board meetings and organizational meetings, including arrangement of catering, logistics and meeting space

 

b.Executive

  • Performs detailed research and analysis on vendors, policy questions, contracts and all related industry matters
  • Establish the Executive Director’s calendar for meetings, conferences and assists in preparation
  • Communicates with the Tourism Board, Community/Industry Leaders and other key stakeholders

c.All other duties assigned, as needed.

II.QUALIFICATIONS:

a.Requirements:

  • Able to communicate clearly and precisely in emails, reports, analysis and verbally.
  • Excellent Organizational skills
  • Technical competency or adaptability to Microsoft Office applications including Excel and PowerPoint, Windows OS, databases across multiple platforms, online payment systems, smart phones, social media and emergent software as it becomes critical to the organization
  • A lively sense of curiosity and the capacity to educate self and acquire new skills as the job evolves
  • Must have a deep commitment to the local Eastern Shore of Virginia community and act as a champion for tourism as an economic driver of the region

b. Preferred:
  • Bachelor’s degree in business administration, business or related field. Experience may be substituted in lieu of education beyond high school
  • Three to five years’ experience in a high-performance business culture or history of progressive responsibility and proven track record of delivering results.
